[*] Scope of Service:

Vendor needs to provide land record transcription and documentation services.
- The contractor will provide a Project Manager to oversee the transcription project. Contractor’s project manager will maintain regular contact with biweekly conference calls and weekly written reports to the Registry of Deeds staff, will report on the progress of the project and obtain answers to questions which may arise, and will facilitate periodic meetings regarding the project as requested by
the Registry. Contractor’s project manager will provide random sample documents (a minimum of 10). Coordination will occur between the Project Manager and the Registry’s point of contact through final acceptance by the Registry.
- The Registry of Deeds will provide the Contractor with a sample of all handwritten original instruments to be transcribed.
- The Contractor will receive and log in microfilm, portable hard drive, or agency provided by the Registry of Deeds.
- Contractor will check all pages for proper sequence and will notify the Registry of Deeds of any missing pages. The Registry shall provide the Contractor with copies of missing pages (if any). Microfilm, portable hard drive, or agency should be in sequential page order. Contractor will notify designated Registry employees of any aberrations from this format.
- Each image will be given a book and page number based on a standard numbering system. Because some books were paged using “folio pages”, resulting in some books having page references for every other page, there may be some conflict between the actual numbered page and what is entered with the transcribed page.
- The Contractor will deliver transcribed documents as electronic images on a monthly basis and invoice monthly for the work completed. Each document wilts be one-single page in TIFF format.
- Each file will be labeled with a file name. The file name will be the book and page number assigned by the Registry as indicated on the agency supplied and will be saved with the following naming logic: Image file name it to correspond to the book and page number utilizing a 5 digit book and a 3-digit page, pad with leading zeroes.
- Contractor will load the transcribed files and text files to the Plymouth Registry of Deeds on its server. The Registry will have the in-house capability to edit the transcribed files.
